The Most Important Event Planning Steps — Step Three

This is the third blog from our series of top 7 tips! If you’ve just joined us, and you want to start from the top, you can read the rest of the series here.

There was a time when you could get away with claiming you were new to it all and we all just muddled through, but by now people are much more used to online or hybrid events, and there are so many guides available, that you can’t afford to look unprepared.

Know your tech.

The more you can familiarise yourself with the tech before the event, the better your event will go. Can you rely on your platform and will the tech work?!

This is an easy one. When you’re using Haia, of course it will! Our platform is being designed to be user friendly and accessible, so you’ll be a pro in no time, and your speakers don’t need a pre-meeting and an essay on how to engage either. Best of all, your audience will find it intuitive, and can make use of our in-built translation facilities, to ensure you don’t need to worry. Haia also ensures minimal bandwidth is required, even when on video. Peace of mind, sorted.

If you’re on another platform, it’s always best to familiarise yourself with any changes that have been made to the location of your buttons, that you’ve ticked all the right boxes when setting up the link, and that your software is updated. If you’ve never used the platform before, then definitely log in and run a practice session — you don’t want to be so nervous about the tech that you forget about looking after everything else.

A pre-meeting with those who haven’t used the platform before, such as your speakers, may be needed so that they feel comfortable presenting on the day, and you’ll also want a way to let your audience know how they sign in and where the mute/unmute and chat functions are. Quite a bit to add to the to-do list there! Other things like your hardware are also important, so treat yourself to a high-quality camera and microphone too.

Haia is a platform that everybody can access, use and enjoy. Whether you’re a newbie to the event scene or if you’re worried about making it as easy as possible for your attendees, we’re the platform for you.
